Approvals are where PostVito earns its keep as an agency tool. Instead of emailing screenshots back and forth, you send the client a single link where they sign off on the pack, post by post.
Sharing a pack for approval works on every plan. Putting your agency’s logo, colours and name on that portal is a Pro / Business feature, configured under Settings → White-label; on Free and Starter the portal carries the PostVito mark.
Internal sign-off first (Business)
If your workspace has approval stages configured under Settings → Approval Workflow, the pack has to clear every stage in order before it can go out. Until it does, sharing is blocked with “Internal approval isn’t complete — stage name still needs to sign off.” Workspaces with no stages configured skip this entirely.
Sending it
From a content pack, click Share with client. PostVito creates a no-login approval link and shows it in a popover so you can copy it or preview the portal. If the client has an approver email saved on their Brand profile, the link is emailed to them automatically and you’ll see “Emailed to …” confirming it went; otherwise you send the link yourself.
The button changes as the pack moves: it reads Client link once a link exists, and New review round after a round has been decided.
What the client sees
The portal shows each post in the pack — caption, images, carousel slides — laid out for review. There’s no account and no login. For every post, the client can:
- Approve — sign off on the post as-is.
- Request changes — leave a note saying what they want different. The note is required.
Pick a date. Each post also asks when it should go out: Post on a specific date (pre-filled with the date you suggested, which they can change) or Let the agency choose the best time. Their choice is saved with the approval, so you’re scheduling against a date they’ve already agreed.
Every post needs a decision. The Submit decision button stays disabled until every open post has been either approved or sent back, and a progress bar shows how many are left. The decision doesn’t have to be all-or-nothing, though: a client can approve eight and request changes on two, and when they submit, the eight approved posts are immediately ready to schedule while you rework the other two. Posts already signed off in an earlier round stay locked and don’t need reviewing again.
Handling changes-requested
When a post comes back with changes requested, you’ll see the client’s note against it. Edit the caption, swap or regenerate the image, or rework the carousel, then click New review round — only the posts that aren’t already signed off go back for review, so the client isn’t re-approving work they’ve already cleared.
Scheduling approved posts
Approval and scheduling are per-post. Once a post is approved you can set its publish time and send it to the client’s connected channels — you don’t have to schedule the whole pack together. Scheduling for a future date is available on Starter and above.
Note: “Approved” means the client has signed off — it’s the go-ahead to publish, not a draft state. Treat the approval link as the record of what the client agreed to. If you edit an approved post substantially afterwards, send it back round so the sign-off still means something.
