Sending method
Choose how review links and handovers are sent by default. You can still change it for a single send in Send for review.
- Send automatically with PostVito (recommended): a branded email with your logo and colour, sent from PostVito's sending address. The subject starts with your agency name, so your client knows who it's from.
- Send from my own domain: the same branded email, sent from your own address, like studio@youragency.com. Set up and verify your domain first (see below).
- Send from my own email app: PostVito prepares a plain message with the link and opens your email app. You press send. PostVito doesn't send anything, can't see whether it arrived, and doesn't send reminders for these rounds.
What your clients see shows exactly what your client gets with the method you've chosen: who it's from, how the subject starts and where replies go.
Where client replies go
Under Where client replies go, enter the Reply-to email you want client replies sent to and click Save & confirm. We email that address a confirmation link; replies go there once it's confirmed. Until then, they go to your account email. Click Remove to go back to your account email.
Replies never go to PostVito.
Your own sending domain
Under Your own sending domain:
- Enter the Sender email you want to send from, like studio@youragency.com.
- Click Show records and add each record at your domain provider exactly as shown: a TXT record that proves you own the domain, an SPF TXT record, and two DKIM CNAME records.
- Click Re-check. Once every record shows Verified, you can choose Send from my own domain.
Good to know:
- If your domain already has an SPF record (one starting
v=spf1), don't add a second one; addinclude:spf.protection.outlook.comto the one you have. Two SPF records make email fail checks. - Use the record values exactly as shown. They name Microsoft's email service, which delivers emails for PostVito.
- Setting this up doesn't create an inbox. Replies to that address need a real mailbox, so set Where client replies go too.
- If your domain stops being verified, nothing is sent from it. We never switch to another sender without asking; you're told and can choose what to do.
- Removing your domain sends future emails from PostVito's sending address again.
Email me when
Choose which emails you get: when a client leaves feedback, approves or asks for changes, and a morning summary when projects are due or overdue. You'll still see everything in the bell and on your dashboard whichever you turn off.
Some emails always come, because they're about your account: billing, storage running out, sign-in, and notices before files are deleted after a plan ends. Replies to those reach our support team.
