Open a project and click Send for review (or Send round 2, Send round 3 and so on).
1. What to send
For the first round you choose the files. For later rounds you can send:
- What's changed: only files that are new or updated since your client last saw them
- The latest version of everything
- Let me choose: pick from a grid
2. Who it's for
Pick a saved contact for the client, or type a name and email. New addresses are saved to the client's contacts unless you untick the box.
3. Message, expiry and how it's sent
Add a short note; it appears at the top of the review page. Choose how long the link lasts: 1 week, 2 weeks, 1 month or 3 months. Two weeks is the default.
How it's sent shows exactly what your client will see before you send: who it's from, where replies go, and who it's to. Click Change to pick a different method for this send:
- Send automatically with PostVito (the default): we email the link with your branding. Replies go to the address you confirmed in Settings → Email & Notifications, or your account email.
- Send from my own email app: we create the link and open your email app with the message ready. You send it yourself. We can't see whether it was delivered.
- Send from my own domain: emails come from your own address. Only available once your domain is verified.
To make your choice the default for every send, click Make this my default… and confirm.
If your own domain isn't verified when you send, nothing is sent. We never switch to another sender on our own. Instead you choose: send through PostVito, prepare it for your email app, or fix the domain first.
You can Cancel at any step.
After sending
You'll always see the link to copy, plus what happened to the email:
- Submitted: handed to our email service. That isn't proof it reached their inbox. If they can't find it, ask them to check spam.
- Prepared: ready in your email app for you to send. If your email app has more than one account, check the From address.
- Failed: the link still works. Copy it, try again, or send it from your own email app.
- Not sure: we didn't get an answer from the email service. Click Check status, or Try again. Trying again is safe: if the first email went, we won't send a second one.
You can't create a second round by clicking twice or refreshing.
Reminders
When PostVito emails a round for you, it can remind your client automatically. Leave Remind them if they haven't opened or decided ticked on the last step. At most two reminders are sent:
- 3 days after sending, if they haven't opened the link
- 2 days before the link expires, if they haven't decided
Reminders come from the same sender as the original email. If your own domain stops being verified, the reminder isn't sent and you're told; we never switch sender on our own. Reminders stop as soon as your client decides, or the link expires or is withdrawn. Rounds you send from your own email app never get reminders. To stop them for a round, click Turn off next to Reminders on on the project page.
Withdrawing a link
Sent the wrong thing? Click Revoke on the round. The link stops working immediately. You can send a new one at any time.
Anyone who has the link can view the files and decide, so share it only with the person who signs off.
