At kick-off
- The final approver is named
- Everyone else who needs to comment is named
- The number of revision rounds is agreed
- The cost of extra rounds is agreed
- Deadlines for client feedback are agreed
- What "approved" means is agreed
Each time you send work
- All files for this round are in one place
- The message says what to review, and what's already agreed
- The message gives a date for feedback
- The message says which round this is
- The files open correctly on a phone
When feedback arrives
- All feedback is in one list, including anything sent elsewhere
- Unclear comments are checked with the client
- New direction is identified and scoped separately
- The outcome is clear: approved, or changes needed
Before the next round
- Every comment is dealt with or answered
- The note says what changed
- The version number is updated
At sign-off
- The approver has confirmed it, in writing
- You've kept who, which version, and when
- Spelling, facts and legal lines were checked
At handover
- Final files are sent
- The client knows how long downloads are available
- Approval record and final files are saved with the project
- Permission to show the work in your portfolio is confirmed, if you want to
