Online proofing software for small agencies: seven tools compared

A plain comparison of PostVito, Filestage, Ziflow, PageProof, Frame.io, GoVisually and Approval Studio for small creative agencies: pricing, branding and logins.

Updated 30 October 2026

A note on bias: we make PostVito, so read this with that in mind. Competitor details come from each company's public pricing page, checked in late October 2026. Prices change, so confirm them before you decide. We haven't ranked the tools, because the right one depends on your work.

What matters to a small agency

Most lists are written for big marketing teams. For a studio of a few people, these questions tend to matter more:

  1. What does it cost for a team our size? Watch for minimum seats.
  2. Do clients need an account? Every extra step costs you replies.
  3. Whose brand does the client see?
  4. What file types do you actually send? Video-heavy and print-heavy work suit different tools.

When each one makes sense

PostVito suits freelancers and small studios whose priority is client-facing review under their own brand, at a UK price. It covers images, PDFs, Office documents, video and audio, with rounds, version comparison and an approval record. Its main limit is one login per workspace, and it has no enterprise features such as single sign-on.

Filestage suits larger teams who want review groups and automations, and who need many logins. It has a free plan with limits that's useful for trying it out.

Ziflow suits marketing and creative operations teams running multi-stage workflows across many people. It's more than a small studio usually needs.

PageProof suits teams that want unlimited storage at a flat team price, or need single sign-on or digital signing.

Frame.io is the obvious one to look at if your work is mainly video. Reviewers don't need an account, and per-member pricing is low for very small teams. If you also send a lot of documents and static design for sign-off, check how well it fits that work.

GoVisually is a per-user design proofing tool. The per-user price is low at small sizes, but note that Pro has a three-user minimum, and logo branding is on Pro.

Approval Studio has a low entry price with a five-user starting point. It's worth checking the storage on its lower plans (5 GB is listed) against your file sizes.

How to choose in an afternoon

  1. Take one real, recent project.
  2. Run it through your two favourites during their free trials.
  3. Send it to a friendly client, and ask what was confusing.
  4. Choose the one that got you a faster, clearer yes.

Don't choose on feature count. For most small studios, the tool that clients actually use is the better one.
